This article walks through the day-to-day management of a ClashWise project: creating one, attaching clash sets, working in the project hub, inviting and managing members, and deleting a project. If you're new to projects, start with the Introduction to Projects article — in short, projects are optional shared workspaces, and clash sets keep working without one.
Who can do what
Each project has two roles:

The person who creates a project is its first Owner. A project must always have at least one Owner — the last Owner can't be removed or demoted.
Create a project
Creating a project requires the Business plan (during open-beta periods project creation is available to all accounts).
- In the web app, open Projects (https://clashwise.ai/my/projects).
- Click + New project. An inline NEW PROJECT card appears.
- Type a name (up to 150 characters — the placeholder suggests the style, e.g. "Tower B coordination").
- Click Create (or Cancel to back out).
ClashWise checks the name as you type: if you already have a project with that name (or a very similar one), you'll see a message such as "You already have a project called "{name}"." and a suggestion to pick a more distinctive name.
When the project is created you're taken straight into its hub.
Add clash sets to the project
Clash sets are attached from the Clash sets page — not from inside the project hub:
- Open Clash sets and select the set you want to attach.
- Open the set's menu (the ⋯ "More" menu on the set header).
- Choose Move to project… and pick the project.
The same menu later offers Change project… (move the set to a different project) and Remove from project (make it personal again). A set can belong to only one project at a time. Sets that belong to a project show a project chip in the clash sets list that links to the project.
The project hub's Clash sets tab is view-only in this respect — its empty state points you back to the Clash sets page to attach sets.
The project hub
Opening a project shows its hub: a header with ← All projects, the project name and description, your role tag, and member/set counts, followed by five tabs.
Clash sets tab
Lists the project's clash sets with their clash count, when each was last updated, and their analysis status. Click a set name to open it on the Clash sets page.
Tags tab
A shared tag library aggregated across all the project's clash sets, headed TAGS · {N} DISTINCT · ACROSS {M} CLASH SET(S). Each tag shows its color chip and how many clashes use it.
Owners can maintain the library:
- Rename — edits the tag inline and applies it everywhere; you'll see a confirmation like "Renamed across {N} clash(es)."
- Delete — opens "Delete tag?", which warns: "Remove "{name}" from every clash in {project}? The clash audit log will record the change per-clash. This cannot be undone in bulk."
Members see the library but not the controls, with the note "Only project Owners can rename or delete tags."
Matrices tab
Shows the clash matrices shared with the project.
- Click + Add matrix to open the "Share a matrix with {project}" dialog. Only matrices you created are listed — shared matrices stay yours; other members just gain read access so they can apply them.
- If one of your matrices already belongs to another project, it's flagged IN ANOTHER PROJECT — sharing it here will move it.
- As the creator, you can Remove your matrix from the project at any time (it stays yours). Matrices shared by teammates are labeled "Shared by another member".
Members tab
Everyone can see the member list: each row shows an avatar, email address, a YOU badge on your own row, and either joined {date} or PENDING · invited {date}.
Owners also get an invite row and management controls (see the next section).
Settings tab (Owners only)
- Edit the project name and description, then Save changes (or Reset to discard edits).
- The DANGER ZONE holds Delete project (see below).
Invite and manage members (Owners)
- Open the project's Members tab.
- In the invite row, enter the person's email address.
- Pick a role — Member or Owner.
- Click Invite.
What happens next depends on whether they already use ClashWise. As the hint in the invite row explains: if they already have a ClashWise account they get instant access; otherwise the seat is reserved as Pending and is claimed the first time they sign in. Pending members appear in the list as PENDING · invited {date}.
Owners can also:
- Change a member's role between Member and Owner.
- Remove a member. The "Remove member?" confirmation notes: "They lose project-mediated access immediately." Their own clash sets are unaffected — they only lose the access the project was giving them.
Guardrail: the last Owner can't be removed or demoted, so a project can never be left without an Owner.
Delete a project (Owners)
- Open the project's Settings tab.
- In the DANGER ZONE, click Delete project.
- Read the confirmation carefully: "Owned clash sets stay alive — they revert to the per-user model under their creators. Other project members lose project-mediated access."
- Confirm.
After deletion you'll see: "Project deleted. Its clash sets are now per-user again."
Deleting a project never deletes clash data. Each clash set simply returns to being a personal set under whoever created it. Anything teammates could only see through the project stops being visible to them.
Tips
- Give every genuine collaborator at least one fellow Owner, so tag maintenance and member management don't bottleneck on one person.
- Use Change project… rather than removing and re-adding a set when a set was filed under the wrong project.
- Before deleting a project, check the Members tab so you know who will lose access.
Troubleshooting
"We couldn't open that project." — The project may have been deleted, or you may not be a member. Ask a project Owner to invite you, or check with your team whether the project still exists.
An invited teammate doesn't see the project. — If they didn't have a ClashWise account when invited, their seat is Pending until they sign in for the first time. Ask them to create their account and sign in with the same email address the invitation was sent to.
I can't rename or delete a tag. — Tag maintenance is Owner-only. Ask a project Owner to make the change, or to promote you to Owner.
I can't remove or demote an Owner. — If they're the last remaining Owner, promote someone else to Owner first.
Limitations
- Clash sets are attached from the Clash sets page, not from the project hub.
- A clash set can belong to only one project at a time.
- The projects list has no search or sort — projects appear as cards.
- Shared matrices are read access only for members: applying them works, editing them doesn't.
