Your Organization

Every ClashWise account belongs to an organization. The organization is where your team's subscription lives: it holds the seats, the plan (tier), billing, the member list, and a few team-wide defaults. When you create a ClashWise account, a personal organization is created for you automatically, with you as its Admin and a 14-day Clash Management trial (5 seats, no credit card required).

This article covers the Organization page: license and seats, read-only mode, members and roles, coordination session defaults, upgrading, and billing.

Who can do what

Organizations have two roles:

Organization roles are separate from project roles (project Owner/Member) — see the Introduction to Projects and Managing a Project articles in this section for those.

Where to find it

Open Organization in the web app at https://clashwise.ai/my/organization.

At the top you'll see the organization name (Admins can rename it inline), a Tier pill (for example Pro or Business), a Status pill (for example Trialing or Active), and a READ-ONLY pill if the organization is currently read-only.

If you see "You don't currently belong to an active organization. If you were recently invited, try reloading the page.", reload the page; if it persists, ask the person who invited you to check the invitation.

License & seats

The LICENSE & SEATS card shows SEATS USED, SEATS PURCHASED, and STATUS, with a usage bar, plus either TRIAL ENDS {date} (while trialing) or RENEWS {date} (once you're on a paid plan).

A seat is consumed by each active member and by each pending invitation that hasn't expired yet.

Read-only mode

If the trial ends without upgrading, or the subscription becomes inactive, the organization becomes read-only. The Organization page shows the warning: "This organization is read-only — the trial has ended or the subscription is inactive. You can still view and export data, but member and license changes are disabled."

The MEMBERS card lists everyone in the organization with their status (ACTIVE or PENDING) and role.

Inviting someone (Admins)

  1. In the invite row, enter their email address.
  2. Choose a role: Member or Admin.
  3. Click Invite. You'll see "Invitation sent."

If the person already has a ClashWise account, they get instant access. Otherwise the seat is reserved as Pending and is claimed the first time they sign in — ask them to register with the same email address. Pending invitations expire after 7 days, which frees the seat again.

Coordination session defaults

The COORDINATION card sets team-wide defaults for live coordination sessions. Admins can edit these; other members see them labeled ADMIN-MANAGED:

Upgrading your plan

Admins can click Upgrade plan to open the upgrade dialog ("Upgrade {OrgName}"). It offers:

The dialog shows the current per-seat prices; they're also listed at https://clashwise.ai/pricing.

Choosing a plan takes you to Stripe checkout. When you return, the plan is applied in place — you'll see "Your plan has been updated. Welcome aboard!" If you upgrade during the trial, the remaining trial time is preserved. (If something goes wrong you may see "We collected your card but couldn't finish the upgrade. Please try again or contact support." — try again, or email support@clashwise.ai.)

If you're not an Admin, the dialog instead shows "Upgrade needed""Only an organization admin can change the plan. Please ask your org admin to upgrade {OrgName}."

The same upgrade dialog can appear anywhere in the app when an action needs a higher plan or an active subscription — for example: "That feature requires the Business plan…", or "Your organization is read-only (trial ended or subscription inactive). Upgrade to continue."

Managing billing

Admins click Manage billing to open the Stripe billing portal, where you can update your card, view invoices, and cancel the subscription — this is how "cancel in-app anytime" works; there are no retention calls. If the organization has never been billed, you'll see "No billing set up yet — upgrade first, or try again."

Starter on its own

The Organization page also shows a Starter card, visible to all members:

Starter is a flat, per-user subscription for AI clash naming in the Navisworks plug-in only — it does not include publishing clash sets or the web platform. Any member can buy it for themselves, regardless of the organization's plan status.

Belonging to more than one organization

You can be a member of multiple organizations. The organization switcher in the app's header sets your active organization — the clash sets, matrices, and other data you see are scoped to whichever organization is active. If you can't find data you expect, check that the right organization is selected.

FAQs

What's the difference between an organization and a project? The organization is the billing and membership boundary — plan, seats, roles, billing. A project is an optional shared workspace inside ClashWise for grouping clash sets and sharing tags, matrices, and saved filters with a specific team.

Do organization members need their own subscriptions? No. Members of an organization with a trialing or active Clash Management plan get access through the organization — no personal subscription needed. Their profile shows an ORGANIZATION SUBSCRIPTION card reflecting the org's plan.

What happens when our trial ends? The organization becomes read-only: you can still view and export data, but member and license changes are disabled and the workspace can't be written to. An Admin can upgrade at any time to restore full access.

How do I cancel? An Admin opens Manage billing and cancels in the Stripe billing portal.

Troubleshooting

"You don't currently belong to an active organization." — Reload the page. If you were recently invited, the invitation may still be pending or may have expired (invitations expire after 7 days) — ask the Admin to re-invite you.

An invited teammate never became active. — Pending seats are claimed at first sign-in. Make sure they register and sign in with the exact email address the invitation was sent to, within 7 days.

"No seats available" when inviting. — Every active member and unexpired pending invite consumes a seat. Add seats with Update seats, or remove a member first.

I can't see the Upgrade plan / Manage billing / Invite controls. — These are Admin-only. Ask an organization Admin, or have them promote you to Admin.
